Privacy Policy

Who we are

Forge AI is a software workspace for electrician businesses (quotes, jobs, invoices, certificates drafts, calendar and related tools). This policy explains what personal data we process when you use the service. It is written for UK users and is intended to be clear — it is not legal advice.

What data we hold

• Account data — email address, authentication credentials (handled by our auth provider), and company profile details you enter (name, address, phone, VAT/registration numbers, branding).
• Business records you create — customers, jobs, quotes, invoices, certificate drafts, tasks, messages, photos you attach, and AI assistant drafts linked to your workspace.
• Billing data — subscription status and Stripe customer/subscription identifiers. Card details are processed by Stripe; we do not store full card numbers.
• Usage and support — limited technical logs needed to run the service, and messages you send to support.

Why we process it

We process data to provide the product you signed up for, to bill subscriptions, to secure accounts, to send transactional email you request (for example quotes or invoice reminders), and to improve reliability. Where UK GDPR applies, the usual bases are contract (providing the service) and legitimate interests (security, abuse prevention, basic product analytics). You can ask us to explain a specific processing activity.

Your customers' data

When you store customer names, addresses, emails or job details, you are typically the controller of that data. Forge AI processes it on your instructions to run the workspace. You are responsible for having a lawful basis to collect and use your customers' information, and for what you send them by email.

Sharing and processors

We use trusted processors to operate Forge AI, including hosting, database/auth (Supabase), payments (Stripe), optional email delivery (Resend), and optional AI drafting (OpenAI or a configured provider). We do not sell your customer lists. Data may be processed outside the UK/EEA by those providers under their terms and appropriate transfer mechanisms.

Security

Access to your workspace data is restricted by authentication and row-level security so that signed-in users only reach their own records under normal operation. No system is perfectly secure; protect your password and export backups if you need offline copies.

Retention and deletion

We keep your workspace data while your account is active. You can export a JSON backup from Settings. You can request account deletion from Settings; when deletion completes, your Forge AI login and user-owned database rows are removed (cascading from your auth account).

Some records may remain where we do not control retention or where retention is needed for legal or accounting reasons — notably Stripe payment history, and short-lived operational logs held by infrastructure or email providers. Certificate features in Forge AI produce drafts and PDFs for your records; they are not an accredited certification or e-sign scheme.

Your rights

Depending on applicable law (including UK GDPR), you may have rights to access, correct, delete, restrict or object to certain processing, and to data portability. Start with the export and deletion tools in Settings, or email support@forge-ai.app. You may also contact the ICO if you believe we have not handled a complaint appropriately.

Children

Forge AI is aimed at trade businesses, not children. We do not knowingly offer accounts to under-16s.

Changes

We may update this policy as the product changes. The “Last updated” date above will change when we do. Significant changes may also be noted in-app or by email where practical.
